Billing & Invoicing

Billing Software for Service Businesses and Freelancers

KarthikFounder & Full-Stack Engineer4 min read

Most billing software is built with a shop in mind: products, stock, a counter. If you sell time, skill or a monthly service, half of that is noise, and the half that matters, such as quotes, recurring invoices and payment tracking, can be buried.

If you run a studio, an agency, a coaching practice, a small clinic or you work alone, here is what actually matters.

Start with the quote

Service work often begins with a price discussion. A written quotation, with scope and amount, avoids the worst arguments later. When the client agrees, the quote should turn into an invoice with the same details and no retyping.

Billy supports quotations and invoices, so a quote can lead to a bill without starting from scratch. Whatever you use, test that flow with a real example.

Recurring work needs recurring invoices

Retainers, rent, monthly maintenance, subscriptions and memberships all repeat. Typing the same invoice every month is how invoices get missed. Recurring billing creates the invoice for you on a schedule, so the only job left is checking it before it goes out.

We wrote a full guide to this in recurring billing for rent, retainers and subscriptions. The short version: set it up once, review each cycle, and change the terms in writing when the work changes.

What to put on a service invoice

  • A clear description of the work, not just consulting charges
  • The period or project it covers
  • The agreed amount and any tax your accountant tells you to include
  • A due date and how you want to be paid
  • Your contact details and a unique invoice number

Specific descriptions get paid faster than vague ones because the client's finance person can match them to a purchase order or an email. See how to create a professional invoice that gets paid for more.

Payment tracking beats a good invoice

Sending the invoice is half the job. The other half is knowing, at any moment, who has paid, who has not and who is late. A freelancer with six clients can keep this in their head until the fourth month, when two payments overlap and one client quietly goes missing.

Look for a view of outstanding amounts and overdue payments by customer. Billy tracks receivables and overdue payments, with a dashboard that shows sales, receivables, cash and bank balance. For the follow-up itself, read how to follow up on unpaid invoices without losing the customer and payment terms that get you paid faster.

Do you need stock features?

Probably not, and that is fine. You can ignore the product and stock parts of a billing tool, or list your services as items with a fixed rate so each invoice line is quick to pick.

Money in, money out

A habit that pays for itself: invoice on the day the work is accepted, not at the end of the month. Late invoices mean late payments, because the client's finance cycle starts when they receive the bill, not when you finish the job. If you tend to forget, recurring billing for the predictable work and a calendar reminder for the rest will cover most of it.

Service businesses still have costs: software, rent, subcontractors, travel. A tool that shows payables alongside receivables gives a truer picture of what is actually coming in. Billy handles purchase bills and supplier balances, which can double for tracking what you owe to a subcontractor or vendor. We cover the wider habit in expense tracking that doesn't become a second job.

What not to over-buy

It also pays to keep your list of services short and clearly named. Five or six standard items with fixed rates are quicker to pick than a fresh free-text description every time, and your invoices start looking consistent, which clients tend to read as professional.

A freelancer does not need a counter, barcode support or multi-warehouse inventory. Pay for what you use. At the same time, check any tool honestly for what you do need. For instance, Billy does not claim payment gateway integration, so if you want clients to pay by card from the invoice itself, confirm that separately.

If you work with more than one business

Plenty of freelancers run a side company or a partner's firm as well. Billy lets you manage more than one business under one login, which keeps the books separate without juggling accounts.

If your service business has a particular workflow, such as billing by milestone or by project hour, we can talk about customising it on our services page, or you can see what Billy offers today and judge for yourself.
