Billing Software for Wholesalers and Distributors in India
Wholesale billing looks like retail billing until you try it. The quantities are bigger, the customers are known, prices vary by buyer, goods go out on credit and a delivery note often travels before the invoice does. Software built for a counter queue handles none of that gracefully.
Here is what a wholesaler or distributor should look for, in roughly the order it will hurt if it is missing.
The paper trail from quote to payment
A typical wholesale deal moves through several documents. A buyer asks for a price, you send a quotation, they confirm, you dispatch with a delivery challan, you raise an invoice, and eventually they pay. If your software supports only invoices, the rest lives in notebooks and WhatsApp chats.
Billy handles invoices, quotations and delivery challans, along with sales returns and recurring billing. If you are unsure how these differ, read invoice vs quotation vs delivery challan.
Credit and receivables are the main event
For most wholesalers, the real work is collecting money. At any moment you should be able to answer: who owes me, how much, and for how long? A list of customer balances, sorted by amount and age, is more useful than any sales chart.
- Customer-wise outstanding amounts
- Overdue payments you can sort and act on
- A clear view of what you owe your own suppliers
- A cash and bank balance you can trust
Billy tracks receivables and payables, and flags overdue payments, so a morning phone list is easy to make. For ideas on who to call first, see overdue payments and ageing reports, and for the conversation itself, how to follow up on unpaid invoices without losing the customer.
A proper purchase side
A distributor is only as good as the stock behind the bill. Purchase bills, purchase orders and purchase returns should live in the same system as sales, so incoming goods increase stock and returned goods reduce it. Otherwise you quote prices without knowing what you have.
Billy supports purchase orders, purchase bills and purchase returns, and shows products and stock with low-stock items flagged. Look for the same in any tool you evaluate.
Take one real order from last week. Try to follow it end to end in the software: quote, challan, invoice, payment, and the matching stock movement. If any step needs a workaround, you have found a gap.
Pricing that varies by customer
Think also about how orders reach you. Many wholesalers take orders over phone calls and messages, then rekey them into the software at the end of the day. That is where mistakes creep in. If you can, take the order into a quotation immediately while the buyer is still on the line, so what you promised and what you bill are the same document.
Many distributors give different rates to different buyers or change prices by the month. Ask the vendor how price changes are handled on existing quotations and how a bill gets its price. Do not assume a customer-specific price list exists. If your pricing is complex, tell the vendor up front, and expect to test it with real figures.
Large catalogs need discipline
A wholesaler may stock thousands of items, often in several pack sizes. That makes product naming and units far more important. We cover it in setting up your product catalog: SKUs, units and naming. A tool will not fix a messy catalog, but it can make cleaning one less painful.
What to check on tax and compliance
The same caution applies to anything that touches reporting. Ask your accountant which reports and formats they need from you at the end of each quarter or year, and check the tool can produce something they can work with. A half-hour conversation now is cheaper than a rushed rebuild of your records later.
Taxes and e-invoicing rules change, and they matter a lot in wholesale. Billy does not claim GST filing, e-invoicing or e-way bill integration, so if those are required in your business, ask your accountant what you need and check any tool against that list. Do not rely on our word, or any vendor's, for a legal requirement.
Do you need a counter at all?
Some wholesalers also sell over the counter to small shops that walk in. If that is you, a POS view helps. If not, you can skip it. Our comparison of POS or invoicing software can help you decide.
Distributors often have workflows that no off-the-shelf tool matches, such as route-wise billing or special approval steps. We do custom work for that, which you can read about on our services page.
