Capturing Leads From Ads Straight Into WhatsApp
A coaching institute ran ads for a new batch and sent every click to a web form. Leads trickled in, and when the counsellors called, half the numbers did not pick up and a few people said, 'I only wanted to ask about the fees.' The form was a wall between interest and conversation.
Pointing the ad at a WhatsApp chat removes that wall. The person taps, a message is ready to send, and you are talking within seconds. It is not magic, and it brings its own housekeeping, but for businesses where a conversation closes the sale, it is often a better path.
The basic mechanics
Ad platforms offer a way to open WhatsApp from an ad, and there is also the plain click-to-chat link with a pre-filled message. We explain the link side in click-to-chat links and QR codes. Options and eligibility on the ad side change over time, so check the current documentation of the ad platform you use.
Use a different pre-filled message for each campaign, for example 'Hi, I saw your ad for the weekend batch'. That one habit tells you which ad each lead came from, with no extra tracking.
Reply fast, then qualify
An ad lead is warmest in the first few minutes. Set an auto-reply that greets by context and asks one question, not five. For the institute that could be 'Which class is the student in?' Then a person takes over. Be careful not to turn the first ten seconds into a form: our guide to what to automate explains why.
- Acknowledge instantly with a short automated message that names the ad or offer.
- Ask one qualifying question that decides who should respond.
- Hand over to a human quickly; see bot-to-human handoff.
- Tag the lead by source, interest and stage.
Store the lead properly
A chat is not a CRM. If leads live only in a phone's chat list, you will lose them within a month. Save the contact with name, source, what they asked and the next step. In WA Getway, the Meta CRM side keeps contacts with stages, tags and opt-in tracking, so a lead can sit in 'new', 'quoted' or 'follow up' rather than in your memory.
Think about consent early. When a person messages you first, you may reply within the customer-service window, but that does not mean they agreed to receive offers next month. Record what they actually agreed to. Our post on collecting consent covers the practice, and your adviser can tell you what applies to you legally.
On the official Meta Cloud API, you can reply freely for a limited time after the customer's last message. After that, you need an approved template. Read the 24-hour customer service window post, and confirm current terms in Meta's documentation. Do not plan a follow-up sequence without checking it.
Follow-up without being a pest
- 1Same day: answer the question they actually asked, with price if you can.
- 2Next day: one gentle check-in if there has been no reply, offering to answer anything else.
- 3A few days later: one last message with a clear next step, such as a visit, demo or booking link.
- 4After that: stop. Move them to a list you only contact with consent.
Resist the urge to chase seven times. A lead who has gone quiet after three tries has told you something. Respecting that keeps your number healthy; spam reports hurt more than lost leads, a point covered in WhatsApp quality ratings and spam reports.
Measure what the ad really gave you
Do not stop at clicks or chats started. Count how many became real conversations, how many got quotes, how many bought. Say you paid ₹10,000 on an ad and got 60 chats. If only five were serious, your cost per useful lead is a very different number from the headline. See measuring WhatsApp campaign results for a simple method.
A word on ad copy. If the ad promises something specific, such as a price list or a trial class, the first reply should deliver it straight away. People who tap through an ad are curious, not committed, and a slow or vague first answer cools them off quickly. Make the first minute of the chat match the promise on the ad exactly.
Capturing leads this way works best with a small, disciplined routine behind it. If you want chats from your ads fed into your own CRM or sheet automatically, that is a job for our API and webhooks, and we are happy to scope it with you on the contact page.
