Which Phone Number Should You Use for the WhatsApp Business API?

KarthikFounder & Full-Stack Engineer4 min read

Say a cafe owner wants the WhatsApp API on the number printed on his menu cards, the same one his staff had used on a shared phone for three years. Assuming they can just 'switch it on'. It is not that simple, and finding out after the printing is expensive.

Meta's requirements on numbers are detailed and do change, so check the current documentation before you register anything. What follows is the decision process we walk people through, and the problems we most often see.

The core issue: one number, one place

In general, a phone number is connected to either a WhatsApp app or the business API setup, not comfortably both at once. Moving an existing number onto the API typically means it stops working in the regular app for that number, and you should expect to lose access to that chat history on the phone unless you export what matters first. Confirm the exact behaviour in Meta's documentation, because it has changed over time.

That single fact drives most of the decision. Ask what you want to happen to the chats currently on the number.

Three realistic options

Option 1: a brand-new number

Buy a fresh SIM and use it only for the business API. Nothing to migrate, nothing to lose, and no tangle with anyone's personal phone. This is what we recommend for most people starting out. Your old number can stay on the app for the transition, with a note in the profile or status pointing customers to the new one.

Option 2: move your existing business number

This keeps the number customers already know. It makes sense when the number is everywhere: boards, packaging, Google listing, years of habit. Before you move, export or save the chats you cannot lose, tell your team the app will stop working on that number, and pick a quiet day for the switch.

Option 3: a landline or virtual number

Many businesses use a landline or a virtual number for the API. The number must be able to receive a verification code, usually by a call or SMS, so check that your line can do that and that someone can answer. Some providers' virtual numbers are not accepted, so confirm with Meta's current rules before buying one.

A pre-registration checklist

  1. 1Decide whether the number is new or existing, and write down what happens to existing chats.
  2. 2Make sure you control the number: it is in your business's name, not an employee's personal SIM.
  3. 3Confirm that the number can receive a verification code, by SMS or voice, right now.
  4. 4Check that the number is not already linked to another business account.
  5. 5Keep the SIM active and recharged. A lapsed prepaid SIM can make you lose the number.
  6. 6Match the display name to your real business name, in line with Meta's naming guidance.
  7. 7Tell your team the date of the switch.

The 'in the business's name' item matters more than it looks. When a manager leaves with the SIM that holds the business's main number, you have a problem that no software fixes.

Plan for a second number

Keep one spare number connected for testing. Experimenting on your live customer-facing number is how test messages reach real people. Our guide on testing without spamming customers covers the routine, and a dedicated test number makes it simple.

How many numbers will you end up with?

More than you expect, usually. A sales line, a support line, a number for one more branch. Plan how you will keep track of them. A gateway that manages several numbers under one login, like WA Getway, saves you from juggling separate dashboards; see managing multiple WhatsApp numbers from one dashboard for what to look for.

Official numbers and QR numbers are different decisions

If you connect a number by QR login instead of through the Meta API, you are using the regular WhatsApp app session on a normal number, so the registration questions above do not apply in the same way. The risk question does, though, and a number that is central to your business is better kept off QR. We compare the two in Meta Cloud API vs QR gateway.

Protect the number once it is live

Whatever route you choose, a number is only valuable if it stays healthy. Opt-in, honest messaging and sensible pacing are what keep it that way, and numbers that ignore them get restricted. We list the usual causes in why WhatsApp numbers get banned. Number choice is also tied to your account paperwork; the verification checklist is worth reading before you register.
