Segmenting Your WhatsApp Contacts With Tags, Simply

KarthikFounder & Full-Stack Engineer4 min read

A coaching institute has one big list: parents of current students, parents of former students, and people who only enquired. Send them all the same fee reminder and you will confuse a third of them and upset another third. The fix is not a better message. It is knowing who is who.

Tags are how you record that. They are short labels you attach to a contact, and they let you pick the right audience in seconds. The trap is building a tagging scheme so elaborate that nobody maintains it. Here is a small one that survives real life.

Tags answer three questions

Almost every useful tag answers one of these: who is this person to me, what are they interested in, and where are they in the journey? Keep those three apart and the rest gets easy.

  • Who: customer, wholesale, vendor, staff, friend-of-shop. Usually set once.
  • Interest: sarees, school-uniform, diabetic-care, 2bhk. Add when they ask about it or buy it.
  • Stage: enquiry, quoted, ordered, repeat, lapsed. This one changes and is the most useful.

In the Meta CRM side of WA Getway, contacts carry both stages and tags, along with whether they have opted in. That combination is the useful part: you can aim a campaign at, say, opted-in contacts tagged with an interest, and nobody else.

Naming rules that keep you sane

  1. 1Use lowercase and hyphens: festive-buyer, not Festive Buyer!!
  2. 2Pick singular nouns and stick to them. One spelling per idea.
  3. 3Write down your tag list in one shared note. If it grows past 20 tags in the first month, you are over-tagging.
  4. 4Never use a tag for a one-off event unless you will delete it afterwards.
  5. 5Do not store sensitive details like health conditions or finances in a tag. If it would embarrass the customer to see it, don't write it.

Start with five segments, not fifty

A neighbourhood pharmacy might need just these: regular-monthly (chronic medicine buyers), walk-in, delivery-customer, senior-citizen, and lapsed. Each can have a different message: refill reminders, new-stock notes, a delivery slot, a larger-print note, a gentle check-in.

You can always split a segment later. You cannot easily recover the time spent maintaining thirty segments nobody uses.

Say the coaching institute from the opening uses three stages: enquiry, enrolled and alumni. A reminder about next month fee goes only to enrolled. A note about a new batch goes to enquiry and alumni, worded differently for each. Nobody gets a message that makes them wonder why they were included, and the institute avoids the awkward phone calls that follow a wrongly aimed message.

Consent is a separate field, not a tag

Whether someone has agreed to receive marketing is not a casual label. It needs a date and a source, such as 'ticked box on bill, 12 March.' Keep it as its own field wherever possible. The consent process is explained in collecting opt-in without killing conversions, and the removal side in handling STOP requests.

If you ever hand the phone to a new staff member, this is the first thing they should learn: check the consent field before choosing an audience, every time. It takes five seconds and prevents the one mistake that is hard to undo.

Keep it honest

A tag is a note about what a person said or did, not a guess about who they are. Tag from facts: they bought, they asked, they replied. Guessing leads to messages that feel presumptuous.

Using segments in a campaign

Once you have segments, a campaign is simple. Pick the audience, adapt two sentences, send. The same festive offer might open with 'Welcome back' for repeat customers and with 'Thanks for asking about our range' for enquiries. It takes five extra minutes and the replies are noticeably warmer. The full sequence is in running a broadcast campaign.

Decide who owns the tags. If every staff member invents their own labels, you will have vip, VIP and very-important within a week. One person approves new tags, everyone else uses the shared list. It sounds bureaucratic until you try to find all your wholesale buyers and discover they are filed under four different names.

Clean up on a schedule

Once a quarter, spend an hour on the list. Merge duplicates, move people between stages, delete tags you haven't used. Lapsed customers become a segment of their own, and that is where re-engaging dormant customers starts.

If your customer data lives in another system and you want tags to update from it automatically, that is a custom integration job. You can describe what you have on our contact page, and we'll be straightforward about whether it is worth building.
