WhatsApp Business Pricing Explained Simply (Without the Jargon)

KarthikFounder & Full-Stack Engineer4 min read

We will not quote you a single rupee figure for Meta's charges in this post, and that is deliberate. Meta changes how it prices business messaging from time to time, including how it counts messages and what the categories are. Any number printed in a blog can be stale by the time you read it. What does stay stable is the structure, and that is what is worth understanding.

Think of three separate costs

  • What Meta charges for messages sent over the official API.
  • What your provider or gateway charges for software, numbers, seats and support.
  • What your own time costs: setup, templates, training and the people who answer replies.

Most confusion comes from mixing these up. A provider's monthly plan is not Meta's message fee, and Meta's fee does not include the software. When someone says 'WhatsApp API is free', they usually mean one slice of it.

A good provider should be able to tell you in one sentence what is included in the monthly price and what is billed separately. If the answer takes ten minutes, ask for it in writing.

How Meta's side works in principle

In rough terms, Meta's charge depends on the type of message and the country of the recipient. Conversations a customer starts with you, answered within the 24-hour window, have historically been treated more kindly than messages you start. Messages you start, using templates, are where charges tend to apply, and marketing-type messages are usually priced higher than plain utility ones such as an order update. That is the general shape. For current rates, categories and any free allowances, look at Meta's own pricing page for your country.

This is another reason the 24-hour window matters commercially, not just technically. We explain the clock in the 24-hour window guide.

A budgeting method that does not need exact rates

Here is the approach we suggest, with invented volumes to show the arithmetic. Say a coaching institute sends 300 fee reminders, 300 class-timing updates, and 1,000 promotional messages in a month. Split your planned volume into those buckets: utility, marketing, and customer-started replies. Then do this:

If you are a shop sending only order updates, your total will look very different from a business running monthly promotions. Which bucket dominates your plan is the first thing to know.

  1. 1Count how many messages you expect in each bucket.
  2. 2Look up Meta's current rate for each category in your country.
  3. 3Multiply, then add a buffer of, say, 20 to 30 per cent, as a rule of thumb, because real volume always drifts upward.
  4. 4Add your provider's monthly plan.
  5. 5Add a rough figure for staff time if someone will answer replies.

The method is simple on purpose. What changes is the rate table, not the way you reason about it.

Where the surprises hide

Marketing volume creeps

Promotions feel cheap per message, so lists grow and sends get more frequent. Per-message pricing punishes that quietly. Send fewer, better messages. It is cheaper and it gets more replies.

Sloppy templates mean repeat sends

A template with a wrong date or a broken link gets resent, and you pay again. Check placeholders before sending a batch. Our tips on template approval help avoid the first stage of this.

Plan limits

Gateways usually cap things like numbers, messages per month and team members by plan. That is separate from what Meta charges. In WA Getway plans carry usage limits, so match the plan to your realistic message volume rather than the volume you hope for.

Rule of thumb

Whatever you estimate for the first month, treat it as a floor. Real usage almost always comes in higher once people start replying and teams start using templates freely.

Is QR cheaper?

A QR-based connection has no per-message fee from Meta, because it is not using the official business API. That does not make it free of cost. If your number is banned, the cost is the lost chats, the missed orders and the time to rebuild trust with customers. For low-volume replies to people who already know you, it can be fine. For campaigns, the risk usually outweighs the saving. Our comparison of the two routes lays that out.

Questions to ask any provider

  • Are Meta's message charges billed to me directly or passed through by you?
  • What is included in the monthly plan, and what are the caps?
  • Is there a setup fee, and is there a fee per extra number or team member?
  • What happens when I exceed a limit: is sending blocked or billed extra?
  • Can I see message-level results, so I know what I paid for?

If you want a second opinion on a quote you have received, or a rough budget for your use case, send it over via the contact page. We would rather you pick the right plan than the biggest one.
