Email Deliverability: Why Your Transactional Emails Land in Spam

Rahul VermaDevOps & Platform Engineer1 min read

A support ticket that says "I never got the confirmation email" is one of the more frustrating bugs to diagnose, because the email usually did send — it just landed somewhere the customer never checks. Deliverability is invisible until it's a problem, and by the time it's a problem, it's usually been quietly costing you customers for a while.

The usual causes, in order of how often we find them

  • Missing or misconfigured SPF, DKIM, and DMARC records — the technical proof to receiving mail servers that your emails are actually authorized to come from your domain.
  • Sending transactional email from the same infrastructure as marketing blasts, so one bad campaign's reputation drags down your order confirmations too.
  • A new domain with no sending history, which mail providers treat cautiously by default until it's built up trust.
  • Content that trips spam filters — too many links, certain phrases, or a mismatch between the display name and the actual sending domain.

Why this deserves real attention, not an afterthought

A password reset email or an order confirmation landing in spam isn't a minor inconvenience — it's the exact moment a customer needs to trust you, failing silently. This deserves the same seriousness as the security basics most small business sites skip.

What we actually set up

Dedicated sending infrastructure for transactional email, separate from marketing, proper authentication records verified before launch, and monitoring that flags a sudden drop in delivery rates before a customer has to tell you about it.

Nobody notices good email deliverability. Everyone notices bad email deliverability, eventually, usually from a customer who assumed you ignored them.

This is infrastructure hygiene, the same category as choosing hosting carefully — unglamorous, easy to skip, and expensive to fix retroactively once your sending reputation is already damaged.
