The Best Time to Send WhatsApp Messages, and Scheduling
Search for the best time to send WhatsApp messages and you will find confident answers like 'always Tuesday at 11 am'. We'd ignore all of them. Your customers are not an average. A school parent, a night-shift nurse and a vegetable wholesaler who starts work at 4 am all live on different clocks.
What you can do is avoid the clearly bad times, pick sensible windows for your kind of business, and then let your own results correct you.
The times to avoid
- Late night and very early morning. A promotional ping at 11:30 pm is not a message, it is an intrusion, and it is a quick route to being blocked.
- Mealtimes, for most households. Many people check their phones then, but they are also at their least patient.
- Government holidays and mourning days, unless the message is directly relevant. A sale announcement on the day of a local bereavement does real damage.
- Immediately after an unresolved complaint. Fix the problem before you pitch.
Sensible windows by type of business
These are starting guesses, not facts. Think of them as a first draft to test.
- Retail and apparel: late morning or evening, when people are out of work mode and thinking about shopping. Weekends before a festival tend to be busy for everyone, so test earlier in the week.
- Clinics and salons: appointment reminders work best a day before, plus a short nudge a couple of hours ahead. Time them to the appointment, not the clock.
- B2B and wholesale: working hours, early in the day, before the buyer is buried in calls. Rates and stock updates before the market opens are useful.
- Fee and payment reminders: a few days before the due date, then on the due date, during the day. Not at night, when it feels like a demand.
Find your own timing with a simple test
- 1Split a segment of similar customers into two equal groups.
- 2Send the same message to group A in the late morning and to group B in the evening.
- 3Count replies and actual actions, such as visits or orders, over the next two days. Do not judge by delivered or read alone.
- 4Repeat with a different pair of times next week.
- 5After four or five rounds, you'll have a pattern for your customers. Write it down.
Keep the groups comparable and the message identical, or the test tells you nothing. With small lists, treat differences as hints. If you have 60 customers, one extra reply is not a trend. Our post on measuring results beyond delivered goes deeper on reading the numbers.
Pace matters as much as the hour
Choosing a good hour and then firing 1,000 messages in two minutes undoes the care. Large bursts from one number look like spam to WhatsApp's systems. A paced queue spreads sends over time, and we explained why in why your messages need a queue. It also means the last person on the list gets the message at roughly the hour you intended, so keep the list size in mind when choosing a start time.
Scheduling so you aren't glued to the screen
You rarely want to send at the moment you are writing. You write at 3 pm, but the right time is tomorrow at 10 am. WA Getway has a message scheduler and lets you schedule broadcasts, so you write once, set the time, and the paced queue handles delivery. That also means a festival message can be prepared two days before and go out while you are at the counter.
Before scheduling, confirm the time zone, re-read the message, and check the date inside the text. A scheduled message with 'today only' sent a day late is worse than no message at all.
Respect the customer's own signals
If a customer replies 'please message after 6 pm', note it on their contact, and honour it. That one small courtesy often buys more goodwill than any offer. A tag such as evening-only costs nothing. See segmenting contacts with tags for how to keep notes like that tidy.
Time zones matter too if you serve customers abroad, such as families of NRIs who order gifts for relatives. Your 10 am can be someone else middle of the night. Keep a tag for location and schedule separately for each group rather than sending once and hoping.
If you need scheduling tied to your own system, for example sending a message exactly two hours before each booking, that is custom work. Our services page describes how we approach it.

How to Measure a WhatsApp Campaign Beyond 'Delivered'
A delivery report that looks perfect tells you almost nothing about whether anyone cared. Here are the numbers that show whether a campaign worked, and how to collect them by hand if you have to.
WhatsApp APIWhy Your WhatsApp Messages Need a Queue and a Sensible Pace
Hitting send on five hundred messages in one second feels efficient. To WhatsApp it looks like a bot, because it is one. A queue and a steady pace fix that.

One list, one message, everyone annoyed. A few well-chosen tags fix most of that. Here is a small tagging system that a shop owner can actually keep up with.
