Writing WhatsApp Campaign Messages People Reply To

KarthikFounder & Full-Stack Engineer4 min read

Look at your own WhatsApp lock screen. You see the first line or two of each message, and that is the whole audition. Your customer decides in about two seconds whether the message is for them, and nobody has taught them to be patient.

Writing for that screen is different from writing a flyer. Here is what we've seen work, and what usually doesn't.

Open with who you are and why now

The first line should answer 'who is this and why are they messaging me?' Compare these two openers from an imaginary dental clinic.

  • Weak: Hello dear customer, greetings from our clinic!
  • Better: Hi Meera, this is Dr. Rao's clinic. Your six-month cleaning is due this month.

The second uses a name, a reason, and a reason that is true for this person. If you cannot write a reason like that for the whole list, split the list. Segmenting with tags is what makes this possible.

Here is the same idea for a salon. Weak: Big offer on facials this month, book now. Better: Hi Divya, it has been about three months since your last facial. We have a free slot on Thursday at 5 pm if you would like it. Just reply YES. The better version is longer, yet it reads faster, because every word is about her.

One message, one ask

Every extra option divides the replies. 'Visit, call, or order online' gets fewer responses than 'Reply YES and we'll hold a slot for you on Saturday.' People reply to messages that are easy to reply to. A single word answer is the easiest one.

A caution though: do not trick people into replying with a vague message. 'Reply for a surprise' gets replies and also gets resentment.

Short, plain, and with a real reason to answer

Aim for something you could read aloud in ten seconds. Skip the paragraph of company history. If your customers chat in Tamil, Hindi or Kannada with you at the counter, consider writing the message that way, or in a mix. Perfect formal English from a number that normally speaks casually can look like a scam.

Avoid all-caps, long strings of symbols and five exclamation marks. They look like the messages people have learned to ignore, and heavy use can lead to the reports that hurt your sender health. See spam reports and quality rating for why that matters.

A reason to answer today helps, but only a real one. Offer valid till Sunday because the stock is limited to 40 pieces is believable if true. A fake countdown repeated every week trains customers to ignore you, and an offer that applies only to selected items should say so in the message, not on arrival at the shop.

A real deadline helps, but only a real one. 'Offer valid till Sunday because the stock is limited to 40 pieces' is believable if it is true. A fake countdown repeated every week trains customers to ignore you.

Be honest about what you are offering. If the discount applies only to selected items, say so in the message, not on arrival at the shop.

Three structures that rarely fail

  1. 1Reminder: Name, what is due, simple way to confirm. Good for appointments, renewals and payments.
  2. 2Personal offer: Name, a thing they have bought before, a related thing now available, a deadline, one-word reply.
  3. 3Question: A quick, useful question such as 'Would a Sunday delivery slot help you?' People answer questions much more readily than they answer offers.
Template rule

If you are using the official Meta Cloud API, marketing messages outside the 24-hour window have to be sent as approved templates. Write your text so that the variable parts, like name and date, are clearly marked, and confirm the current category rules in Meta's documentation before submitting.

Don't forget the exit

Tell people they can stop. 'Reply STOP to opt out' costs you a few subscribers and buys you a list that wants to be there. On the official Meta route in WA Getway, STOP and START replies are handled automatically, so those contacts are marked correctly. We cover the wider practice in handling STOP requests the right way.

Test, but with sense

You do not need a statistics degree. Send version A to one segment and version B to a similar segment, then compare the replies and the visits. If the segments are 40 people each, treat any difference as a hint, not a verdict. Keep the winning habit, not just the winning sentence.

The wording is one part of the system. The list, timing and follow-up matter just as much, which is why we walk through the whole sequence in how to run a broadcast campaign. If you want your messages to pull in customer names or order details automatically, tell us about it through the contact page and we'll see what fits.
