WhatsApp for Real Estate: Following Up Leads Before They Go Cold

KarthikFounder & Full-Stack Engineer4 min read

A buyer fills in an enquiry form on a property portal at 8 PM. By the time your team calls at 11 the next morning, three other agents have already sent brochures, and the buyer has stopped picking up unknown numbers.

Real estate leads don't fail because the product is bad. They fail because the first hour and the second week are both badly handled. WhatsApp can fix both, but only if you're clear about what to send and who owns each lead.

The first reply decides who gets the site visit

Speed matters, but a fast generic reply is worse than a slightly slower specific one. 'Thanks for your interest, our executive will call you' tells the buyer nothing. A reply that names the project, the configuration they asked about, and offers two specific slots for a visit gives them something to answer.

If the enquiry is captured from a form or an ad, an automatic first message is reasonable. We'd keep it short, mention what they enquired about, and ask one question: when would they like to visit? One question gets answers. Four questions get silence.

A follow-up routine that doesn't need a big team

  1. 1Same day: a personal acknowledgement with the project name and one specific detail they asked about.
  2. 2Day two: a short message with the floor plan or location pin, whichever they showed interest in.
  3. 3Day four: offer a site visit with two time slots.
  4. 4The day before the visit: confirm the time and share a map pin and a contact name.
  5. 5The day after the visit: ask what they thought, and answer questions while it's fresh.
  6. 6Week two: one honest nudge, such as a price or availability change. If nothing is new, say nothing.

You'll notice the list stops. That's deliberate. A buyer who has gone quiet after a visit and two nudges has told you something. Follow up on the next real event, a new phase launching or a price revision, not on a calendar.

Stage your leads or lose track of them

The most common problem we hear from small brokerages is that leads live in four places: the portal, three agents' phones, a spreadsheet and somebody's memory. The follow-up routine above is useless if nobody knows which day a buyer is on.

Even a simple set of stages does the job: new, contacted, visit scheduled, visited, negotiating, closed, not interested. On the official Meta route, WA Getway has a Meta CRM with contacts, stages, tags and an inbox, so the stage sits next to the conversation. Add tags for budget bands or locality and you can message the right people when a matching unit opens up. Our post on segmenting contacts with tags shows a simple tagging system.

The 24-hour window and why it matters here

On the official WhatsApp Business API, you can reply freely for a limited period after a customer messages you. Outside that period you need a pre-approved template. Real estate buyers often reply after two days, not two hours, so you'll hit this boundary regularly.

Read our explainer on the 24-hour customer service window and check Meta's current documentation for the exact rules. In practice, it means your day-four site visit offer will probably go out as a template, so write it well and get it approved before you need it. Our notes on why templates get rejected are worth a read.

Consent, and the cold-contact trap

A buyer who enquired about one project didn't agree to hear about every project you've ever listed. Messaging a purchased list of phone numbers is the fastest way to get reported as spam and lose the number.

  • Message people who enquired or gave you their number for this purpose.
  • Record where and when they gave consent.
  • Honour STOP immediately. WA Getway handles STOP and START automatically on its Meta route, but you should still read our note on handling unsubscribe requests.
  • Don't forward one buyer's details or documents to another.
A rule we'd follow

Every lead should have exactly one owner and one next action with a date. If you can't say who will message a buyer next and when, the lead is already cooling.

What to keep off WhatsApp

Pricing negotiation, legal documents and anything involving a token amount belong in a call or a meeting. WhatsApp is for scheduling, sharing information and keeping the conversation warm. It's a bad place to argue about a discount, and screenshots travel.

If your brokerage wants enquiries from portals and ads pushed into one inbox with an automatic first reply, that's a custom integration job, and we're happy to scope it through our contact page. Start with the routine above on paper first. If the team can't follow it by hand, software won't fix that.
