WhatsApp Payment Reminders That Get Invoices Paid
A packaging supplier sends forty invoices a month. Most customers pay on time. A handful drift past the due date, not out of ill will, but because the invoice sat in an email nobody opened. The owner knows exactly who they are and still dreads the follow-up call.
A short WhatsApp message does the job with less awkwardness. It arrives where people actually look, it can include the amount and invoice number, and it lets the other side reply 'paid yesterday, sending UTR' instead of a long phone conversation.
A reminder ladder
Do not send one angry message at day 45. Use a ladder, each step slightly firmer, and stop when you are paid.
- 1A few days before the due date: a friendly heads-up with the amount and due date. Optional for reliable customers, useful for new ones.
- 2On the due date: a plain reminder with the invoice number and payment details.
- 3A few days after: 'This invoice is now overdue'. Offer help if there is a problem with the invoice.
- 4A week or two after: a firmer note, ideally paired with a phone call from someone senior.
- 5Later: move to whatever your formal process is. A WhatsApp message is not a legal notice.
Wording that works
Hi Suresh, a quick reminder that invoice INV-0312 for ₹48,500 was due on the 10th. Payment details are below. If it is already paid, please send the reference and we will update our records.
It is specific, assumes good faith and makes it easy to reply. Avoid sarcasm, capital letters and anything that sounds like a threat. Never name or shame a customer in a group chat. The goal is to be paid and keep the relationship, in that order.
- Include invoice number, amount and due date every time.
- Say how to pay and attach the invoice or a link.
- Offer one clear way to raise a dispute.
- Match language to your usual dealings, English or the local language you normally use.
Where the data comes from
A reminder is only as good as your list of who owes what. If you keep it in a notebook, you will forget someone. With billing software such as Billy, invoices, receivables and overdue payments are in one place, so the list of whom to message is already there. You can then send reminders through a gateway like WA Getway using its REST API or scheduler, if you want them automated. Billy does not itself send WhatsApp messages as far as this post is concerned, so check how you will connect the two. We discuss the practical wiring in WhatsApp reminders for billing software.
Pair this with good habits on the invoice side. Our article on following up on unpaid invoices and the one on payment terms that get you paid faster cover what to put on the invoice itself, which is half of the battle.
Rules and risks
A payment reminder relates to a real transaction, but you still need to be messaging a number the customer gave you for business contact, and you should let them know you use WhatsApp for this. On the official Meta Cloud API, reminders outside the customer-service window need an approved template. Confirm current rules with Meta's documentation. If you send via a QR session, keep volume small to avoid ban risk.
Also respect time. Messages at 10 pm about money feel hostile. Send during working hours, and avoid weekends and festivals unless your customers do business on them. Our post on the best time to send WhatsApp messages has more.
Automate carefully
Automation is great for the polite steps at the start of the ladder. We would keep the later steps human. A fully automated 'overdue' message to a good client who is waiting on your credit note is a quick way to embarrass yourself. Review the list before each batch goes out, and exclude anyone with an open dispute.
A practical detail: always send the invoice again with the reminder, as a file or link. Many customers say 'I cannot find it' as a reason for delay, and the fix is simply to remove that excuse. Include the bank details or payment instructions in the same message. The fewer steps between reading the reminder and paying, the faster the money moves.
Make sure payments you receive stop the reminders. Nothing damages trust like a 'you owe us' message sent the day after someone paid. If you want help connecting your invoicing to automatic reminders in a way that checks status first, that is something we can build, and you can reach us through the contact page.
