Click-to-Chat Links and QR Codes for WhatsApp Customers

KarthikFounder & Full-Stack Engineer4 min read

The cleanest way to grow a WhatsApp list is to let customers start the conversation. They tap a link, a chat opens with your number, and they send the first message themselves. That first message matters, because it gives you a conversation that you did not have to cold-start.

Two tools do this: click-to-chat links and QR codes. Both are free and take about ten minutes to set up. Both are wasted if you hide them.

How a click-to-chat link is built

The basic link has the form wa.me followed by your number with the country code and no plus sign, spaces or dashes. For an Indian number that means 91 followed by ten digits. You can add a ready-typed message to the link, so that the customer only has to press send. The text is URL-encoded, which just means spaces become %20.

  • Plain link: wa.me/91XXXXXXXXXX
  • Link with a prefilled message: wa.me/91XXXXXXXXXX?text=Hi%20I%20saw%20your%20offer%20on%20the%20flyer
  • Always test it on your own phone, in the Business app and in the normal one, before printing anything.

Meta documents the exact link format and any changes to it, so check their current help pages if something stops working.

If your number is on the WhatsApp Business app rather than the personal app, the same link works. The difference shows up after the chat opens, where the business app offers labels and quick replies. A link is only the doorway. What matters is how you treat the person who walks through it.

Prefilled text is a free tracker

Here is the trick most shops miss. Use different prefilled messages for different places. The window poster says 'Hi, I saw your poster'. The Instagram bio says 'Hi, I'm from Instagram'. The invoice footer says 'Hi, I have a question about my bill'. Now every chat that arrives tells you where it came from, without any analytics tool. This also helps you plan capturing leads from ads into WhatsApp, and you can tag them on arrival, as we describe in segmenting contacts with tags.

QR codes for the physical world

A QR code is the same link in a form a phone camera can read. Generate one from your wa.me link and use it wherever people have a moment to scan: the billing counter, shop window, table tents in a restaurant, the back of a visiting card, delivery boxes, flyers.

  1. 1Make the code large enough to scan from a short distance. A tiny code on a crowded poster fails.
  2. 2Put a short line next to it saying what happens: 'Scan to chat about orders, we reply within the hour.' Only promise what you can keep.
  3. 3Leave white space around it, and don't put a logo so large that it breaks the code.
  4. 4Print on a matt surface. Glossy paper under shop lights reflects and blocks scanning.
  5. 5Scan it again after printing, from the distance a customer would stand.

Don't confuse this with a QR login

A customer-facing QR code opens a chat with your number. It is not the same thing as the QR you scan to link a number to a gateway. If you use WA Getway with QR login, that code is for connecting your own number once, and it should never be shared or printed.

Think about who answers

Every link you publish promises a reply. A QR code on a poster that leads to an unattended number is worse than having no code. Decide who reads that chat, during what hours, and set an out-of-hours reply if you can.

What happens after the chat opens

When a customer messages you first, they have started a conversation, and in the official Meta route there is a 24-hour window in which you can reply freely. After that, rules about templates and consent apply. We explain the window in the 24-hour customer service window. A first-time chatter has not necessarily agreed to marketing, so ask politely before adding them to broadcasts.

Put them where decisions happen

Good spots are the places where a customer has a question right now: product pages, the contact page, order confirmations, the packaging insert, and the ends of your bills. Poor spots are footers nobody scrolls to. If you want a chat button built into your website or wired to your order system, that is part of what we do. Have a look at our services page or send us a note.

Whatever you pick, change one place at a time and watch the prefilled messages for a fortnight. If the counter QR brings ten chats and the website button brings one, you have learned where your customers actually are, which beats any guess.
